Information for CCC Ministries only Facility Room Reservation & Requirements
The following are some requirements we wish to reiterate to everyone:
Regarding Reservation Procedures:
It is important for all ministry leaders to reserve the venue and receiveconfirmation noticebefore beginning any advertisements. This will avoid conflicts with other events. This will also ensure the date, time, venue, and any requirements (sound/video personnel, proper equipment, etc.) are available and reserved for your event.
Each ministry group is responsible for the following:
To set-up of tables, chairs, any TV/DVD/LAPTOP needs, etc. as needed for your event/activity
To thoroughly clean the area(s) used after your event, including the rooms used for childcare
To return any tables, chairs, TV/DVD/LAPTOP, equipment, carts, etc. to the place from where you may have removed them, including items used from maintenance room
To return each room to proper setup as posted on the room layout.This ensures the room is in order for the next group
Please direct concerns/issues regarding event/meeting reservations to Skip Davey, our Administrator.If any reservation is in need of liturgical consideration or approval, Skip will meet and address these with our priests.
Upon approval, the event will be scheduled and the person requesting the reservation will be otified via email.
ROOM ATTENDANCE EVENT NOTICES need to be completed with the# of persons attending your meeting/event. This notice is placed right outside the room you have reserved. Attendance information is important for our Annual Archdiocesan Pastoral Report of activities submitted each year in July.
EMPTY ROOMS NEED TO BE LOCKED: All ministries are asked to please lock the room when you finish your meeting. This is necessary to comply with Archdiocesan Safe Environment regulations and make the Center safe for our children.
Please note: Your ministries’ cooperation helps us meet each other’s needs for specific activities, events, but most importantly the Center’s personnel.
